The Central Records Division of the Stillwater Police Department is a
multi-faceted unit that serves as the Departments memory. Their primary function is
to accurately process and maintain all departmental reports in a manner which permits
timely retrieval and review. Furthermore, the Division is responsible for the maintenance
and security of all departmental law enforcement records.
The Records Division is
comprised of six civilian employees, one Records Supervisor and five Records Clerks, and
is open Monday through Friday, 8:00 a.m. to 5:00 p.m.Records Unit employees must be
multi-skilled as they are required to accomplish duties unlike any other clerical job. It
is the Records Units ultimate responsibility to accurately receive, record,
maintain, retrieve, and distribute official Police Department records in a timely manner.
They must learn procedures and systems required in maintaining confidential police
records; operate a computer terminal, and miscellaneous office machines; assist the public
and other agencies; search female offenders; and occasionally assist with mental
transports. In special circumstances they assist members of this department with requests
from providing care to infants and small children to consoling and/or monitoring
distraught individuals. Thus, the Police Records Clerks must be able to deal with
individuals in a professional and caring manner under all circumstances.
The majority of the Records Clerks' time is
spent processing the vast amount of
paperwork that must be sorted, processed, and disseminated for municipal and district
court, other law enforcement agencies, the public, and departmental members. In
2000, the
Records Unit processed approximately 130,000 multi-paged documents. Because of the wide
assortment of reports a police officer can generate, the Records Clerk must be
knowledgeable in the processing of arrest, crime, missing person, and juvenile detention
reports, vehicle collision reports, stolen, recovered, or stored vehicle reports,
supplementary and evidence reports.
As one can see, the duties within this Division are many and include serving the public
both in person and by telephone with records requests and copious amounts of information,
in a variety of formats. Ultimately, SPD's Records Division handles these many and varied
responsibilities with patience, professionalism, and pride.
